Description:

Financial Aid Specialist – Check Processing and FA Data Entry Temp will focus on internal and external scholarship programs. This position will work closely with staff, students and programs to coordinate the activities and functions of designated scholarship programs for institutional and departmental awards, private donors and scholarship organizations. Financial Aid Specialist – Check Processing and FA Data Entry Temp ensures that goals and objectives specified for the scholarship programs are accomplished in accordance with established priorities, time limitations, funding limitations and other specifications. Accurately input student financial aid application dates (FAFSA, verification documents, awards) into student information systems (e.g., PeopleSoft, Salesforce, etc.). Cross-check source documents against data entry to ensure consistency and flag discrepancies for resolution. Handle all student records in accordance with FERPA and institutional data privacy policies.

Essential Duties:

  1. Coordinate Scholarship Programs
  2. Assist in the administration and coordination of internal and external scholarship programs, including institutional, departmental, and privately funded awards.
  3. Process Scholarship Checks and Data Entry
  4. Accurately input and maintain financial aid-related data, including FAFSA submission dates, verification documents, and scholarship awards, using systems such as PeopleSoft and Salesforce.
  5. Ensure Data Accuracy and Consistency
  6. Review and cross-check source documents to verify accuracy of data entered; identify and escalate discrepancies for timely resolution.
  7. Collaborate with Stakeholders
  8. Work closely with students, staff, and scholarship program administrators to ensure proper handling and processing of scholarship funds and related documentation.
  9. Maintain Compliance with Policies
  10. Handle all student information in accordance with the Family Educational Rights and Privacy Act (FERPA) and institutional policies regarding data privacy and confidentiality.
  11. Support Program Goals
  • Ensure scholarship program goals, objectives, and timelines are met in alignment with funding requirements and operational priorities.
  • Knowledge, Skills and Abilities:
  • The ideal candidate will have knowledge of financial aid regulations, FERPA guidelines, and experience with systems like PeopleSoft and Salesforce. They should demonstrate strong data entry skills, attention to detail, and proficiency in Microsoft Office applications. The ability to manage multiple tasks, meet deadlines, and communicate professionally with students, staff, and external partners is essential. Candidates must maintain confidentiality, resolve data discrepancies, and provide accurate, student-centered service while working independently or as part of a team.
  • Working Environment:
  • Activities are performed in an environmentally controlled office setting subject to extended periods of sitting, keyboarding, and manipulating a computer mouse. Stand for varying lengths of time and walk moderate distances to perform work. Occasional bending, reaching, lifting, pushing and pulling up to 25 pounds. Regular activities require the ability to quickly change priorities which may include and/or are subject to resolution of conflicts. Ability to clearly communicate verbally, read, write, see and hear to perform essential functions.

Minimum Qualifications:

  • High school diploma or GED.
  • One (1) year of experience in data entry, administrative support, financial aid, or a related field.
  • Demonstrated experience working with student information systems/ Microsoft Office Suite
