Job Description

Position Overview

Ultimate Staffing Services is actively seeking an experienced Executive Assistant to join their client's team in Madera County. The Executive Assistant will play a crucial role in supporting executives by managing administrative tasks and ensuring efficient operations within the office environment. This position offers a dynamic work atmosphere with opportunities for professional growth.

Responsibilities

  • Prepare financial statements, reports, memos, invoices, letters, and other documents.
  • Answer phones and route calls to the correct person or take messages.
  • Handle basic bookkeeping tasks.
  • File and retrieve corporate records, documents, and reports.
  • Research and compile data to prepare documents for review and presentation by boards of directors, committees, and executives.
  • Help prepare for meetings.
  • Greet visitors and decide if they should meet with executives.
  • Utilize various software, including word processing, spreadsheets, databases, and presentation software.
  • Read and analyze incoming memos and submissions, distributing them as needed.
  • Make travel arrangements for executives.
  • Perform office duties such as ordering supplies and managing a records database.
  • Provide experience as a virtual assistant, if needed.
  • Open, sort, and distribute incoming faxes, emails, and other correspondence.
  • Provide general administrative support.
  • Perform other duties as assigned.

Qualifications

  • Education: AA degree and 5 years of related work experience. A BA degree in Business or Public Administration is preferred.
  • Experience: Proven experience as an executive assistant or other relevant administrative support experience.
  • In-depth understanding of the entire MS Office suite.
  • Ability to organize a daily workload by priorities.
  • Ability to work overtime.
  • Must be able to meet deadlines in a fast-paced, quickly changing environment.
  • A proactive approach to problem-solving with strong decision-making skills.
  • Professional level verbal and written communication skills.

Required Work Hours

Monday - Friday, 8:00 AM - 5:00 PM

Additional Details

Salary: $23.00 - $26.00 per hour
