Position Summary

A values-driven, founder-led organization is seeking a detailed, service-oriented Chief of Staff, and Director of Administration to support a visionary executive. This leader will serve as the central point of coordination across multiple dynamic business segments, including retail, hospitality, and manufacturing. This individual will oversee high-priority projects, drive alignment across teams, and bring structure and clarity to a fast-moving, high-touch family office.

This role blends executive administration, project coordination, and communications with deep operational ownership. The ideal candidate is grounded, adaptable, thrives behind the scenes, and brings both pace and poise to a dynamic, customer-centric and highly collaborative team environment.

Key Responsibilities

  • Act as the quarterback for all major efforts flowing through the executive office—fielding, prioritizing, and advancing initiatives across multiple business verticals.
  • Support executive communications, including coordinating correspondence, preparing briefings, and facilitating internal and external messaging.
  • Manage key meetings and communications—organizing leadership calls, supporting high-level events, and serving as the central point of contact for time-sensitive efforts.
  • Coordinate and track the progress of concurrent projects, ensuring momentum, accountability, and clear deliverables.
  • Bring process and calm to a high-volume, constantly evolving workflow—anticipating needs and managing details seamlessly.
  • Build trusted relationships across departments, business units, and external partners to ensure consistent alignment and flawless execution.
  • Research and deliver insights and data-backed recommendations to guide and inform decision-making.
  • Operate with humility, urgency, and a hospitality mindset in serving a wide range of stakeholders.

Ideal Candidate Profile

  • Bachelor’s degree in Business Administration, Management, or a related field.
  • 10+ years of experience in executive administration, project coordination, communications, or hospitality.
  • Background in founder-led, privately held companies, universities, or professional services firms preferred.
  • Proven ability to manage multiple priorities with accuracy, speed, and discretion.
  • Exceptional service orientation—calm under pressure, warm in demeanor, and comfortable interfacing with high-profile stakeholders.
  • Has supported senior leadership at the highest levels and understands how to operate with trust and confidentiality.
  • Highly organized, relationship-driven, and equally comfortable planning events, coordinating major initiatives, and managing daily operations.
  • Strong communicator with a natural ability to build alignment, nudge action, and drive clarity across teams.
  • Willingness to travel as needed.
